1. About these terms
These terms apply to every booking made with Volatile Tour and Travels Pvt. Ltd (“we”, “us”), Near Bus Stand, Gandhi Nagar, Hansi, Haryana, 125033 — on this website, on WhatsApp, by phone or at our office. By paying an advance you accept these terms. If your written quote or confirmation says something different for your trip (for example a group booking, a cruise or a special fare), the quote wins for that point.
2. Quotes and prices
- Prices on the website are starting prices per person on twin sharing. Your final price depends on dates, hotels, group size and availability.
- A quote is valid for 7 days or until the hotels, flights or services in it are no longer available — whichever comes first. Nothing is held until you pay the advance.
- Prices include only what is listed under “Inclusions”. Anything not listed — lunches, entry tickets, camera fees, tips, personal expenses, extra sightseeing — is extra.
- GST is charged as per law. International packages also attract TCS (tax collected at source) as per Indian income-tax rules; it is shown in your invoice and can be claimed in your income-tax return.
- If taxes, fuel prices, exchange rates or supplier prices change after you book, we may revise the price. We will tell you before charging any difference.
- Peak dates (Diwali, Christmas–New Year, long weekends, summer holidays) and festival or event dates can carry supplements that are mentioned in the quote.
3. Booking and advance payment
| Trip | Advance to confirm | Balance due |
|---|---|---|
| India (domestic) packages | 25% of the package cost | 15 days before departure |
| International packages | 50% of the package cost (plus the visa fee) | 30 days before departure |
| Booked less than 15 days before departure | 100% at the time of booking | |
| Flight, train and bus tickets | 100% at the time of booking | |
- Your booking is confirmed only after we receive the advance and send you a written confirmation on WhatsApp or email.
- If the balance is not paid on time, we may cancel the booking and the cancellation charges below apply.
- You can pay by bank transfer (NEFT/IMPS/RTGS), UPI, cheque or at our office. A receipt is given for every payment.
- Pay only into Volatile Tour and Travels Pvt. Ltd's own account. If anyone asks you to pay into a personal account in our name, call us first on +91 94168 20177.
- Hotels and flights are booked once the advance is received; prices and availability are not guaranteed until then.
4. Cancellation charges
Cancellations must be sent in writing — on WhatsApp to +91 94168 20177 or by email to volatiletoursandtravels@gmail.com. The day we receive your message is the cancellation date. Charges are a percentage of the total package cost:
| When we receive your cancellation | Cancellation charge |
|---|---|
| 30 days or more before departure | 10% of the package cost |
| 15–29 days before departure | 25% of the package cost |
| 7–14 days before departure | 50% of the package cost |
| Less than 7 days before departure, or no-show | 100% — no refund |
| When we receive your cancellation | Cancellation charge |
|---|---|
| 45 days or more before departure | 20% of the package cost |
| 30–44 days before departure | 35% of the package cost |
| 15–29 days before departure | 60% of the package cost |
| Less than 15 days before departure, or no-show | 100% — no refund |
In addition to the charges above, these are never refundable once booked:
- Visa fees, travel insurance premiums and permit fees.
- Non-refundable airline tickets, and the airline's own cancellation fee on refundable tickets.
- Hotels, houseboats, cruises, special trains and events booked on non-refundable or peak-season terms — your quote marks these.
If you cancel part of a group, the price for the remaining travellers may be recalculated (for example, a room or cab shared by fewer people).
5. Flights, trains and buses
- Air tickets follow the airline's fare rules; train tickets follow IRCTC / Indian Railways rules; bus tickets follow the operator's rules.
- Our service charge for booking a ticket is not refundable. Refunds are made after the airline, railway or operator refunds us.
- Schedule changes, delays and cancellations by the airline, railway or bus operator are their responsibility. We help you rebook or claim a refund.
- Names on tickets must match your ID or passport exactly. Corrections can carry airline charges.
6. Refunds
- Refunds are paid within 7–14 working days of the cancellation (or of the airline/hotel refunding us, for their part), to the account you paid from.
- Bank or payment-gateway charges, if any, are deducted.
- No refund is given for services you don't use during the trip — missed meals, sightseeing, hotel nights or transfers.
7. Changes by you
- Date, hotel or itinerary changes are made if available. You pay any price difference and any charges the hotel, airline or operator applies.
- Moving your trip to new dates more than 30 days before departure is usually free from our side; closer to departure, it is treated as a cancellation and a new booking.
- Changing a traveller's name is possible for hotels and cabs, subject to supplier rules; flight and train name changes follow their rules.
8. Changes or cancellation by us
- If a hotel or service becomes unavailable, we will offer a similar or better option. If you don't accept it, we refund that part.
- If we cancel your trip for a reason within our control, you get a full refund of what you paid us.
- Trips can be changed or cut short by events outside anyone's control — bad weather, landslides, floods, strikes, road or border closures, government orders, epidemics. We will help with alternatives, and refund whatever hotels and suppliers return to us; extra costs (extra nights, new tickets) are paid by the traveller.
9. ID, passport and visa
- Every traveller must carry a valid government photo ID (Aadhaar, passport, voter ID or driving licence). Hotels can refuse check-in without one.
- For international trips your passport must be valid for at least 6 months after your return date and have blank pages.
- We help with visa applications, but the embassy alone decides. Visa fees are not refunded if a visa is refused, and the package cancellation charges apply.
- Some areas (Ladakh, Sikkim, Arunachal, parts of the North-East) need permits, which we arrange with your ID copies in advance.
10. During your trip
- Hotel check-in is usually 12–2 pm and check-out 10–11 am. Early check-in and late check-out depend on the hotel.
- The cab is for the routes and sightseeing in your itinerary. In hill areas AC may be switched off on climbs. Extra km or hours are charged as per the quote.
- Sightseeing order can change because of weather, traffic or local rules. Some sights may close at short notice.
- Please respect hotel rules and local laws. We may end services without refund for unlawful or unsafe behaviour.
- We strongly recommend travel insurance, especially for international and adventure trips.
11. Our responsibility
We plan and book your trip with hotels, airlines, railways, cab and bus operators and other suppliers. Each supplier is responsible for its own service. We are not responsible for loss, injury, illness, delay, theft or damage caused by suppliers, other people or events outside our control — but we will always help you sort it out. Our responsibility for any claim is limited to the amount you paid us for the booking.
12. Complaints
If something is wrong during the trip, call or WhatsApp us immediately on +91 94168 20177 so we can fix it on the spot. After the trip, send any complaint in writing within 7 days to volatiletoursandtravels@gmail.com. We reply within 7 working days.
13. Law and jurisdiction
These terms follow the laws of India. Any dispute is subject to the courts at Hisar, Haryana. We may update these terms; the version on this page on the date of your booking applies to your booking. How we handle your personal details is explained in our privacy policy.
